Brief Description

Key Responsibilities:-

Primary Responsibilities

Travel Management

  • Take end-to-end ownership of travel and visa coordination.
  • Manage domestic and international travel for employees and business visitors, including flights, hotels, airport transfers, and ground transportation.
  • Coordinate with travel agencies, airlines, hotels, and other partners, including handling last-minute changes, cancellations, and rescheduling.
  • Manage and follow up on visa documentation and processing for international travel.
  • Maintain accurate travel records, booking details, and trackers, ensuring travel is managed within company policy and approved budgets.

Logistics & Coordination

  • Arrange airport pickups/drops, local transport, and accommodation for visiting clients, leadership, and consultants.
  • Coordinate across multiple vendors and stakeholders to keep arrangements running smoothly, and troubleshoot in real time when something goes wrong.

Secondary Responsibilities

Support Administration

  • Run day-to-day office administration: facilities, supplies, vendor coordination, service issues.
  • Maintain administrative records and trackers.
  • Support meetings, events, and leadership visits logistically.
  • Provide admin support to employees and leadership as needed.

Preferred Skills

  • 2+ years in Administration, Travel, or Logistics, with genuine ownership of the work — not just reception/front-office exposure.
  • Hands-on international travel booking experience is mandatory — specifically: multi-leg itineraries, corporate booking tools (e.g., a GDS or corporate travel portal), and visa documentation support. Candidates should be able to speak to specific trips or processes they've handled, not just list "travel coordination" on a resume.
  • Strong communication skills and a calm, professional manner — this person represents the company to leadership, vendors, hotels, and airlines.
  • Comfortable juggling multiple priorities under time pressure.
  • Proficiency in MS Office / Google Workspace; comfortable maintaining trackers and records.
  • Bachelor's degree in Travel & Tourism , Hospitality,  Business Administration or related field (or equivalent experience).
  • Based in or willing to relocate to Trivandrum; this is a fully office-based role.
