Travel Desk Management
- Manage domestic and international travel arrangements for employees and business visitors.
- Coordinate flight, train, bus, and hotel bookings as per company travel policies.
- Arrange airport transfers, local transportation, and other travel-related requirements.
- Coordinate with travel agencies, hotels, cab providers, and other vendors.
- Maintain employee travel records, booking details, and travel documentation.
- Handle travel cancellations, rescheduling, refunds, and changes.
- Assist employees with travel-related queries and provide timely support.
- Ensure travel arrangements are made within approved budgets and company policies.
- Coordinate visa, passport, and other travel documentation requirements, where applicable.
- Track and maintain travel expenses and supporting documents.
Administration
- Handle day-to-day office administration and ensure smooth functioning of office facilities.
- Coordinate with housekeeping, security, maintenance, courier, and other service providers.
- Manage office supplies, stationery, pantry requirements, and inventory.
- Coordinate repair and maintenance activities with vendors.
- Maintain records of office assets, equipment, and administrative documents.
- Support employee onboarding and exit activities from an administrative perspective.
- Coordinate meetings, events, employee engagement activities, and other office requirements.
- Manage courier and dispatch activities.
- Ensure proper documentation and filing of administrative records.
Vendor & Expense Management
- Coordinate with vendors and service providers for quotations, invoices, and payments.
- Maintain vendor records and monitor service quality.
- Verify travel and administrative bills before submitting them for approval.
- Track expenses against approved budgets.
- Support cost optimization initiatives for travel and administrative activities.
