About the Role

We are looking for an experienced Senior Accountant (US Accounting & Tax Support) to manage the day-to-day accounting operations of our US-based business. The successful candidate will independently maintain accurate financial records, oversee the complete accounting cycle, perform month-end and year-end closing activities, manage payroll, accounts payable and receivable, and prepare CPA-ready financial statements.

This role will work closely with our external US CPA by providing complete financial records, reconciliations, and supporting schedules required for tax preparation and statutory compliance. The role will also collaborate with the Fractional CFO by providing accurate financial data required for budgeting, forecasting, and business analysis.

This position does not include signing tax returns, acting as the CPA of record, or performing CFO-level financial planning.

Key Responsibilities

General Accounting

  • ·       Manage the complete accounting lifecycle for US-based entities.
  • ·       Maintain accurate books of accounts using QuickBooks Online.
  • ·       Record and classify all financial transactions.
  • ·       Maintain the General Ledger.
  • ·       Prepare journal entries and adjusting journal entries.
  • ·       Ensure proper accounting classification of revenues, expenses, assets, liabilities, and equity transactions.

Maintain complete supporting schedules and accounting documentation.

 

Accounts Payable (AP)

  • ·       Process vendor invoices accurately.
  • ·       Verify invoice approvals.
  • ·       Maintain vendor master records.
  • ·       Schedule and process vendor payments.
  • ·       Reconcile vendor statements.
  • ·       Monitor outstanding payables.

Accounts Receivable (AR)

  • ·       Generate customer invoices.
  • ·       Record customer receipts.
  • ·       Monitor collections.
  • ·       Follow up on overdue invoices.
  • ·       Maintain customer aging reports.
  • ·       Resolve customer payment discrepancies.

Bank & Credit Card Reconciliation

  • ·       Perform monthly bank reconciliations.
  • ·       Reconcile credit card statements.
  • ·       Investigate and resolve discrepancies.
  • ·       Maintain reconciliation schedules.
  • ·       Ensure all transactions are accurately recorded.

Payroll Accounting

  • ·       Process payroll accurately and on time.
  • ·       Maintain payroll records.
  • ·       Record payroll journal entries.
  • ·       Coordinate with payroll providers where applicable.
  • ·       Reconcile payroll accounts.

Month-End & Year-End Close

  • ·       Perform complete month-end closing activities.
  • ·       Perform year-end closing activities.
  • ·       Reconcile all balance sheet accounts.
  • ·       Record accruals, prepayments, depreciation, and adjusting entries.
  • ·       Prepare working papers and supporting schedules.
  • ·       Ensure books are finalized within agreed timelines.

Financial Reporting

  • Prepare and maintain monthly financial reports including:
  • ·       Profit & Loss Statement
  • ·       Balance Sheet
  • ·       Trial Balance
  • ·       General Ledger Reports
  • ·       Accounts Receivable Aging
  • ·       Accounts Payable Aging
  • ·       Cash Position Reports
  • ·       Fixed Asset Register
  • ·       Supporting schedules for CPA review

US Tax Support

  • ·       Prepare CPA-ready books for tax filing.
  • ·       Provide reconciliations and supporting schedules required by the external US CPA.
  • ·       Support preparation of federal and state tax returns.
  • ·       Assist in responding to CPA queries.
  • ·       Coordinate during tax filing and audit processes.
  • ·       Ensure accounting records remain accurate and tax-ready throughout the year.

CPA Coordination

  • ·       Work closely with the external US CPA.
  • ·       Ensure books require minimal review adjustments.
  • ·       Provide all requested documentation on time.
  • ·       Support statutory audits and compliance reviews.
  • ·       Maintain complete audit trails and supporting documentation.

Process Improvement

  • ·       Develop and maintain accounting Standard Operating Procedures (SOPs).
  • ·       Recommend accounting process improvements.
  • ·       Identify automation opportunities within QuickBooks and related applications.
  • ·       Improve accounting efficiency and internal controls.

Preferred Skills

Required Qualifications

  • ·       Bachelor’s Degree in Accounting, Commerce, Finance, or a related discipline.
  • ·       Mandatory: Certified Bookkeeper (CB) certification from the American Institute of Professional Bookkeepers (AIPB).
  • ·       Minimum 5–10years of professional accounting and bookkeeping experience.
  • ·       Minimum 4–5 years of hands-on experience managing US accounting and bookkeeping.
  • ·       Strong working knowledge of US GAAP and US accounting principles.
  • ·       Hands-on experience with QuickBooks Online.
  • ·       Proven ability to independently manage:

o   Complete bookkeeping

o   General Ledger

o   Accounts Payable

o   Accounts Receivable

o   Payroll Accounting

o   Bank & Credit Card Reconciliations

o   Month-End Close

o   Year-End Close

o   CPA-ready financial statements

·       Advanced Microsoft Excel skills, including Pivot Tables, XLOOKUP/VLOOKUP, financial reporting, and reconciliations.

·       Excellent written and verbal English communication skills.

  • ·       Experience working directly with US-based companies.
  • ·       Experience coordinating with external US CPA firms.
  • ·       Experience in IT Services, Consulting, Professional Services, Staffing, or Technology industries.
  • ·       Knowledge of US payroll processes.
  • ·       Experience working in multi-entity accounting environments.
