Outreach
- Send marketing collaterals, follow-up emails, and nurture sequences to prospective customers
- Own communication with leads — act as the first point of contact and maintain engagement
- Conduct research on organisations and decision-makers to identify new opportunities
- Provide industry and customer insights to Marketing to improve collateral quality
- Collaborate with Marketing Coordinator to maintain accurate HubSpot pipeline data
- Organise and schedule meetings with leads on behalf of Directors
- Attend meetings alongside Directors — take notes, capture requirements, and track actions
- Deliver product demonstrations and system walkthroughs (after completing product training)
- Work with Directors to progress opportunities and run customer meetings effectively
- Follow up promptly after meetings with emails, calls, and next steps
- Gather initial customer requirements and coordinate with Technical BA for deeper discussions
- Maintain accurate and up-to-date records in HubSpot CRM for all leads and opportunities
- Capture meeting notes in HubSpot and Fireflies with consistent quality and detail
- Create weekly HubSpot reports for sales updates and pipeline reviews
- Maintain organised SharePoint folders for proposals, agreements, and customer documents
- Support Directors in finalising commercial and technical scope, including pricing models
- Create Sales Proposal decks incorporating technical images and information from Technical BA
- Prepare, send, and manage commercial documents (agreements, SOWs) via DocuSign
- Track signatures and confirm PO/invoice status with Directors
- Support Directors in preparing commercial pricing for Change Requests
- Coordinate clean handover of closed deals to Technical BA and Customer Success Coordinator
- Support initial onboarding activities alongside Customer Success Coordinator
- Keep customers informed about product developments and enhancements
