Brief Description

Overall purpose of the job:

        Provide administrative support to the Major Projects team.

 

Key responsibilities for this job:

Supplier Management

        Supporting order placement especially at height periods to achieve run rates

        Ensure the target is achieved for order placement across Major Programmes, x30 per project, each week (to be reviewed depending on how many projects are fluid)

        Ordering accuracy and minimal error rate

        Responsibility for ensuring that products are delivered in a timely fashion against standard lead-times

        Identifying supplier issues, understanding and interpreting to the customer

        Identifying when a supplier escalation is required due to lack of progress or multiple failures and flagging to Team Manager for support when needed

        Always proactively review forward connectivity installation dates

        Ensure the failure pot remains minimal and client is aware of actions assigned them to progress

        Support with installation amendments with clients and ensure the restriction is adhered to to ensure a manageable volume of changes

Sharepoint Management

        Ensure connectivity appointments are reviewed twice a week and Sharepoint updated demonstrating completion followed by handover on OSS

        Product/supplier reference accuracy is absolutely key for handover on OSS

        Ensure failed appointments are reappointed within 48 hours, Sharepoint is updated and the customer is aware of the revised appointment

        Ensure activity is assigned for failed appointments whereby they cannot be reappointed. The comments need to be short and detailed to ensure the customer understands the next steps

        Ensure Sharepoint format is clean throughout

        Ensure any future review dates are proactively reviewed for progress or completion against failed stores

Adhoc Management

        Day to day support required from the Field Engineers, Remote Engineers or Client daily. This could be product query, supplier reference query, socket location query.

Preferred Skills

Knowledge and experience required:

        Experience working within an administrative role.

        Ability to interpret large volumes of data and place orders with a high level of accuracy.

        Good IT skills along with an organised and methodical approach to work.

        Responsible and willing to take ownership of projects

        Self-motivated team player

        Effective communication skills and an excellent telephone manner

        A strong attention to detail and a task finisher

        Ability to work within tight timescales and SLA’s
